Our client, an established clinic based in Buckinghamshire is seeking an experience medical pa to join them on a full time basis. The successful candidate will have worked in the medical field as a PA or secretary and now looking for a new exciting challenge. This role is Monday to Friday 8.30am – 5pm.

1. Accurately type clinical correspondence, medical reports etc for allocated GP(s)
2. Liaising with Consultant personal assistants to manage timely referrals
3. Assisting the Patient Services team with answering the telephone and dealing with queries as per
the protocol
4. Receive telephone messages and queries and deal with them efficiently.
5. Manage incoming emails, mail and direct appropriately.
6. Taking card payments from patients
7. Updating the practice log to manage the flow of referrals etc.
8. Documenting in the patient’s records and ensuring an accurate record of actions and follow up
9. Assisting the admin team answering phones, making appointments, taking payments etc
10. Arranging meetings and scheduling for GP’s (manage any recurring meetings)
11. Recoding records from data transferred from clinical software and ensure documents are filed
under the correct heading.
12. Follow up with assigned GPs on Death Reporting ensuring the spreadsheet is completed in a
timely manner.
13. Ensure all compliance requirements are up to date including policies and training requirements,
and the completion of minor incident spreadsheets as required.
14. Ensure complaint forms and allocated paperwork is completed by allocated GP in the event of
complaints or events.

2. Set targets for quality of service and manage regular audits of teamwork.
3. Ensuring that appropriate cover is available for absences such as annual leave, sickness, or
meetings.

4. Carry out regular objective setting and performance review meetings ensuring that staff training
needs are identified and addressed in a reasonable time frame.
5. Monitor job descriptions ensuring they are updated appropriately and promptly when changes
are introduced.
6. Implement ownership of tasks related to allocated GPs to allow for continuity of workflow.
7. Oversee preparation of agendas, ensure allocated team members attend and minute take for
weekly Clinical Meetings and Nurse meetings.
8. Perform allocated Risk Assessments specific to team role.
9. Ensure team compliance goals are up to date related to Policies and Training.
10. Perform yearly appraisals and 1:1 mentoring (quarterly) are performed on all staff to monitor
ongoing progress.
11. Point of contact for GP Educational sessions. Schedule and organise with consultants and
oversee OTD
12. Data reporting for GP Audits
13. Maintaining documentation and updating PDF’s and other forms used in the practice.
14. Assist in the tasking of audits from the Head of CG&QA and follow up with individual clinicians
are directed.
15. Follow up with clinicians regarding request for ratification of policies and processes
