Specifications: 

Our well established, highly regarded, prestigious client is looking for a full time Executive PA to provide clerical and administrative support to the top executives, senior managers and directors of the company.  This is a truly fulfilling role, suiting a passionate, dedicated individual who would be willing to support with a variety of initiatives across the business.

Duties of the role will include:

  • Taking on full ownership co-ordinating the booking of meetings and events, as well as communicating with board members, scheduling board meetings and arranging meeting agendas
  • Performing research for meetings as well as taking minutes during meetings
  • Supporting the Executive Team with the production and co-ordination of the relevant materials to assist the executive meetings
  • Managing correspondence on behalf of the CEO with emails, post, answering the phone in a timely manner, prioritising and cascading/escalating, as appropriate, within your own function or wider
  • Preparing accurate and appropriate letters for the Chief Executive Officer, Directors and Trustees to the required high standards and expectations
  • Managing the day to day enquiries, assessing enquiries and responding appropriately on behalf of the Chief Executive Officer, as well as effectively managing incoming enquiries, including screening
  • Working with key stakeholders to develop relationships across the business
  • Taking on full ownership of the Chief Executive Officer’s diary management
  • Ensuring effective, sensitive and appropriate internal/external communication, whilst regularly handling private and sensitive information, ensuring confidentiality at all times
  • Producing reports for management on an ad-hoc basis as and when required
  • Booking business travel arrangements, transport and accommodation for the Chief Executive Officer
  • Managing databases/filing systems
  • Contributing and leading elements of project work on a UK/EU or functional basis
Special Requirements / Additional Information: 
  • Vast experience of similar roles or experience with operating at Senior PA/Executive Assistant level
  • Excellent communication skills, both verbal and written, maximising networking skills
  • Expert knowledge of administration software, e.g. Word, PowerPoint, Excel, Outlook and other appropriate in-house systems
  • Ability to demonstrate analytical and problem-solving skills
  • Having a high degree of accuracy and attention to detail
  • Excellent interpersonal, influencing and negotiating skills
  • Highly developed prioritisation and organisational skills
  • Experienced in working in a fast paced environment
  • Having a high level of resilience, a proven self-starter with strong influencing skills
  • Having a highly professional approach, coupled with high levels of confidentiality
  • Ability to be flexible and adaptable as well as multi-tasking in a fast paced environment
