Specifications: 

Our client, who is involved in the healthcare sector and based in High Wycombe, is looking to recruit a full time HR Co-ordinator to provide efficient administrative and HR advisory services, working closely with other members of the Central Services Team.

Duties of the role will include:

  • Completing/managing the administration of the entire employee life cycle
  • Producing contracts of employment
  • Scanning/saving employment documents onto IT systems
  • Updating employee data onto IT systems
  • Producing reports on employee data
  • Tracking compliance documents such as training, right to work documents, driving licence, car insurance etc.
  • Completing/managing self-employed service offer letters and agreements
  • Issuing standard pension documents for new starters
  • Training administration, including setting up of accounts for employees, producing compliance reports, and following up with individuals and managers to ensure compliance
  • Updating organisation chart and managing approval process for publication internally
  • Processing leavers and starters
  • Removing data in accordance with legislation
  • Obtaining/responding to reference requests
  • Responding to data information requests within required timescales
  • Providing Line Managers HR advice and support, such as absence management, performance improvement, disciplinaries, grievance etc., as well as arranging minuting meetings/hearings as necessary, producing necessary documents
  • Shredding confidential documents on a timely basis
  • Managing/responding to all emails within HR admin box
  • Managing/responding to employee and management queries
  • Recording/calculating corporate holiday requests
  • Providing cover for recruitment administrator when necessary
  • Accurate minute taking and efficient distribution of minutes
  • Arranging meetings, including room bookings, refreshments as necessary
  • Adhoc project work
  • Providing cover for colleagues in Central Services Administration Team
  • Other administrative HR duties
  • Reporting to the Financial Controller, who manages the Central Services Administration Team

 

Based in High Wycombe, but travel to other sites within Buckinghamshire will be required.

Special Requirements: 
  • At least 2 years’ experience in an HR Administrator / Advisor role
  • Full of part CIPD Level 5 qualified (minimum)
  • Experience of advising managers on employee relations issues, including formal processes such as improvements plans, disciplinaries, grievance hearings etc.
  • Experience of maintaining databases
  • Excellent office skills, including ability to use mail merge
  • Proactive/organised/team player
  • Excellent communication skills (verbal/written)
  • Ability to maintain discretion and confidentiality
