Our client, a consultancy firm based near Chesham, is looking for an enthusiastic and efficient HR / Officer Administrator (1 Year Maternity Cover).  You must be self-motivated with excellent communication skills and the ability to multi-task as this is a very busy and varied role (graduates considered with good PC skills who want to get into HR with an admin. background).

Key Duties include:

  • Scheduling interviews
  • “New Starter” administration (adding start dates, creating induction plans, adding to HR database / telephone list / org chart / Staff Qualifications list / holiday spreadsheet, calculating holiday entitlements, creating individual training records, sending out for references / uploading to HR Database etc.)
  • Probation periods (scheduling probationary reviews in to diaries of new employees and managers, creating reminders for passing 6 months’ probation and writing probation completion letter and sending off with probation completion documents.  Notifying when benefits should be triggered)
  • Appraisals (scheduling appraisal meetings, assisting in circulating emails and reviewing appraisals e.g. creating reports on the HR Database)
  • Training administration (collating training from appraisals, setting up records, liaising with trainers and attendees)
  • Organisation charts & Staff qualification list  (adding new joiners, removing leavers, updating when there are promotions)
  • HR Database (adding new joiners, moving leavers, updating after pay reviews, updating job titles when promotions given, uploading all incoming documents to individual files)
  • Assisting in long service awards, ordering Christmas hampers and organising events
  • Calculating annual leave for new joiners and holiday owed when employees leave
  • Processing holiday requests and adding to the holiday record spreadsheet
  • Drafting pop-ups and announcements (promotions, new starters, leavers)
  • Creating new projects in Sage, making a project live in the system and updating the quote tracker
  • Managing the post, testing the fire alarm, formatting reports/letters
  • Diary management
Special Requirements: 
  • Excellent written and verbal communication skills
  • Excellent interpersonal skills, being professional and approachable
  • High level of organisational skills and great attention to detail
  • Proactive approach to work, taking initiative where needed
  • Excellent working knowledge of Microsoft Office packages including Excel, Word, PowerPoint and Outlook
  • A working understanding of HR Iris Database and Sage Coretime
  • A working understanding of Outlook for diary management and setting up interviews
