This is a part time, permanent position (job share).

Our client, a leading player in a niche market, is seeking an Office Administrator to work Thursdays and Fridays (9.30am – 5.00pm).  You will head up the administration function and this role is central to the smooth operation of the business.  You will need to have strong customer and employee focus and you will be liaising effectively with the Sales, Design and Production and Accounting functions.  For the avoidance of doubt, this role is not that of a secretary.

Duties Include:

  • Full use of Sage Line 50 accounts system, including Sales and Purchase ledgers, SOP, statements and payments and mailings
  • Sage/Bank reconciliation
  • Monitoring and chasing overdue accounts
  • Creating/maintaining forms and spreadsheets using Excel, for example for factory data use, customer invoice history and stock-take sheets
  • Creating/managing/distributing information within the office, for example customer discount lists, updating current work schedule
  • Maintaining personnel files and holiday records, staff memos, confidential letters etc., plus arranging Christmas lunch
  • Writing/distributing emails and correspondence to both customers and suppliers
  • Creating, maintaining and developing filing systems
  • Processing staff expenses
  • Maintaining/updating Health & Safety check forms as required
  • Greeting visitors to the office, ensuring the office looks presentable at all times
  • Dealing with/directing enquiries over the telephone
  • Opening new customer credit accounts, taking up trade references etc.
  • Organising shipping for customers’ goods for national and international deliveries
  • Placing orders with suppliers and chasing invoices and credits as required
  • Managing the office cleaners
  • Recommending ways in which the company can be more professional, effective and efficient
